📝 Overview
Kenneling and boarding are typically set up using Resources in the software. A resource is any object that supports your business and must be reserved, much like an employee, to perform a service at a scheduled time. The Resources feature lets you schedule and track the use of your resources in the Appointment Book.
Examples of resources include:
Kennels
Pens
Rooms
Tables
Other machines or equipment used to perform services
You add, edit, and delete resources on the Resources screen. To open it, click Edit Resources in the Employees drop-down menu, or click the Resources button on the toolbar.
🛠️ Set Up Resources
Add your resources, link them to services, and create schedules so they can be booked.
➕ Add or Edit a Resource
The Add/Edit Resource screen has four sections: General, Linked Services, Contact Information, and Display Options.
Click Add Resource to create a new resource. To edit an existing resource, click Edit Resource or double-click the resource in the list. The Add/Edit Resource screen appears.
In the General section, add or edit general information about the resource:
Resource ID: the ID number associated with the resource. This value cannot be changed.
Name: a way to easily identify the resource.
Max Occupancy: the maximum number of concurrent appointments that can be booked for this resource.
Comment: any general notes to associate with this resource.
In the Linked Services section, add the services that require this resource. These services show as booked on the Appointment Book for this resource, up to its Max Occupancy. To link a service:
Click Add Service Link. The Service Look Up screen appears.
Select the service you want to link to this resource, then click OK.
Repeat for each service you want to link to this resource.
The Contact Information section shows contact information for the person in charge of maintaining this resource, if applicable.
In the Display Options section, control how the resource displays in various screens of the software:
Show resource when using the Ticket Search feature: when searching for a service, only shows services linked to a specific resource.
Show resource on the Scheduling screen: displays the resource when modifying items on the Scheduling screen.
Show resource on the Appointment Book: displays the resource as a column on the Appointment Book.
📅 Create Resource Schedules
Create schedules for your resources just as you do for employees. We recommend creating working hours for all the dates and times your resources are available for booking appointments. The process is exactly the same as for employees.
Click the Schedule icon at the top of your software.
Double-click the square next to the resource, under the date you want to modify.
In the upper left, select whether the resource is working. If you mark the resource as unavailable that day, you can also choose a reason.
To enter the hours a resource is available, enter the start and end times in the boxes in the bottom right, then click Add.
✍️Note: If a resource has scheduled downtime in the middle of the day, enter multiple start and end times for the first and second halves of the day when the resource is available.
To copy this schedule to other days, click Set Up Recurring Dates, check the days of the week this schedule applies to, and select the end date to indicate how far from the start date you want to copy this schedule.
When you are finished, click Save in the lower right.
Your resource has red time blocks on the appointment book when it is not scheduled to work, and its column is white when it is available.
🔗 Schedule a Resource on a Ticket
The software can reserve a time slot for a resource that is required to perform a service. For example, boarding large dogs over 60 lbs. may require Kennel 1 because it is the only facility you have that is large enough to house them.
🧩 Link Resources to Services
First, link all resources to the services that require them. If you have already done this, skip to Add a Resource to a Ticket.
Go to the Services screen, edit the service, and click the Linked Resources tab.
The Available Resources section displays all resources you have entered. If no resources are shown, exit the Services screen, go to the Resources screen, and create your resources.
Click the resource to link to this service, then click Add. The resource now shows in the Linked Resources section. For example, you may want to link a boarding service to Kennel 1. If you have more than one resource that can be used to perform that service, you can link the service to those resources here as well.
If you have more than one resource in the Linked Resources section, choose one of two options for scheduling the resource:
Auto-populate resource based on availability: the software looks at the schedule of the first resource in the Linked Resources section. If the first resource's schedule is busy, it looks at the second resource, third resource, and so on, until an opening is found.
Prompt me for which resource to use based on availability: the software looks at the schedules of all the resources in the Linked Resources section and prompts you to select the resource to use.
Click Save when you are finished linking resources to the service.
🎫 Add a Resource to a Ticket
Once resources are linked to services, the software adds them to tickets automatically.
Add a ticket as you normally would. On the Ticket Information screen, add the service you want to schedule.
When you add a service that has a resource linked to it, the software automatically adds the linked resource to the ticket according to the option you selected when linking resources to services. Click Manage Resources to display the resource information for the scheduled service.
Continue to schedule the ticket as you normally would.
