How To Receive Client Email & Text Responses

Learn where client replies to emails and text messages go, and how to set the Primary E-mail and Primary Phone that receive those responses.

📝 Overview

When a client responds to an email or a text message, the response does not come directly to your software. You can configure settings that decide where you receive those responses.

Set the email address and phone number where you want to receive client responses.

📍 Set Where You Receive Responses

Your Primary E-mail and Primary Phone are the destinations where you receive client responses. You update them in your account's messaging information.

  1. Click Messaging & Marketing > Messaging System Settings.

  2. When your account settings load, click Edit Company Info in the lower-left corner. A web browser opens to the Account Management login page.

  3. Log in with an administrator account.
    ​

  4. Click My Info in the upper-right corner.
    ​

  5. Click the Messaging Service tab.
    ​

  6. Click Edit Messaging Info.
    ​

  7. Enter the Primary E-mail and Primary Phone where you want to receive responses.
    ​

    ✍️Note: The Primary E-mail can be any address. The Primary Phone must be a mobile number that can receive text messages.


📬 How Client Responses Work

Responses are handled differently depending on whether the client replies to an email or a text message.

📧 Email Responses

If a client responds to an email, the response does not come to your software. It goes to your Primary E-mail.

💬 Text Message Responses

Text message replies to notifications from the software are not treated as normal text messages. If a client replies with C to confirm their appointment, the confirmation type on that client's appointment switches to Text Message to show that they confirmed.

If a client replies to any other text notification from the software, the reply is not sent anywhere. Your clients must respond to your Primary Phone, not the number the message was sent from.

If you want clients to reply to your text messages, add a line to your message that tells them where to reply, like "Please reply to" followed by the phone number you want them to use. Include the <Company Phone> insert item in that line.

⚠️ Warning: Adding this line increases the length of the message. If the message is more than 160 characters, it is split into two text messages.
